Privacy at Syzygyn
We believe you should understand what happens to information you choose to share with us.
When you contact Syzygyn through this website, we use the details you submit to review and respond to your inquiry. Our website hosting, form processing, and email providers may process that information in order to operate the website and deliver your message.
Please do not use the contact form to send passwords, confidential datasets, or sensitive personal information.
Who we are and how to contact us
Syzygyn LLC (“Syzygyn”, “we”, “us”) is an Illinois limited liability company that operates syzygyn.ai and is responsible for the information described in this notice.
This notice covers this corporate website and the correspondence that follows from it. It does not govern future software products or services, which may be subject to separate privacy terms.
For questions about this notice, or to ask us to access, correct or delete personal information, use the contact form on this website and select Privacy Request as the topic, or email privacyremoval@syzygyn.ai. That address handles all privacy inquiries, not only deletion requests. We reply using the contact information you provide, and we may ask for reasonable information to verify your identity before acting on certain requests.
Information you provide and how we use it
Our contact form asks for your name, your email address, an optional inquiry topic and your message. Name, email address and message are required to submit the form; the topic is optional.
When you contact us directly by email, we receive your email address, your message and any other information you choose to include. We also receive whatever you send in later correspondence.
We use this information to read and respond to inquiries, to handle privacy requests, to protect our website and communications from spam and abuse, and to meet legal obligations or resolve disputes. Please send only what your inquiry needs. If we find unnecessary sensitive personal information in a message, we restrict its handling and promptly delete or redact it from the copies we control, unless retention is required by law or reasonably necessary for legal claims.
Hosting, forms, spam filtering and email
Netlify hosts the website and processes and stores contact-form submissions. A submission record contains the fields you provide, the submission time, the IP address of the device, the browser user-agent, the referring page if your browser sends one, and fields derived from your submission. Each submission that passes spam filtering also generates a notification email to our company mailbox.
Netlify uses Akismet, a service of Automattic Inc., to filter spam. Submitted content and the associated technical information may be processed for that purpose. Google Workspace receives those notification emails and holds our correspondence. These providers also process operational and security information under their own terms and privacy policies, and they use other service providers to support their infrastructure.
We may disclose information when the law requires it, or when it is reasonably necessary to protect our rights, address abuse or resolve a legal dispute.
Technical records of visits
Hosting and security systems record technical information about each request, such as the IP address, the page requested, the date and time, browser details and the referring page when available. These records are used to deliver, secure and troubleshoot the website. Provider-controlled operational records follow the providers' retention practices, which may differ from the periods we apply to inquiries below.
Where information is processed
Syzygyn operates in the United States. Our providers and their subprocessors may process information in the United States and in other countries, so an inquiry sent from elsewhere may be processed outside your country.
How long we keep information
For information under our control, and subject to the exceptions below, we apply these periods:
- Contact-form submissions: up to 12 months after submission.
- Original submission notification emails: up to 12 months after submission, including the copies received in our mailbox.
- Spam-flagged submissions: generally no more than approximately six months; we clear the entire spam queue at each scheduled semiannual review.
- Routine correspondence: up to 24 months after the last interaction.
We review retained information at least twice a year and delete eligible records early enough to stay within these limits. Privacy requests are handled when they arrive, not at the next scheduled review.
We may keep information longer where reasonably necessary to comply with a legal obligation or to establish, exercise or defend legal claims, with its use restricted to that purpose. These periods cover the copies we control, including mailboxes, exports and deletion folders. Limited copies outside our direct control may remain for a time in provider backup, recovery or operational systems under the providers' own retention and deletion processes; we do not promise immediate removal from every provider system.
Your privacy requests
You may ask us for access to the personal information we hold about you, for correction of inaccurate information, or for deletion of personal information we hold about you, using the contact routes above.
We may ask for limited information reasonably needed to verify your identity or locate the relevant record. Please do not send identity documents unless we specifically tell you they are necessary.
We respond to requests in accordance with applicable law and its deadlines. Some information may have to be kept for legal reasons; if we cannot fulfil a request, we will explain as appropriate. We will not penalize you for making a privacy request.
Children
This website is intended for a professional audience and is not directed to children under 13. We do not knowingly solicit or collect personal information from children under 13. If we discover that such information has been collected, we will take appropriate steps to delete it, subject to applicable law.
If you believe a child has provided us with personal information, contact us so we can promptly assess the report. Where applicable law gives additional protections to other minors, we apply them.
Security
We maintain administrative and technical safeguards appropriate to this website and the information it handles, including restricted administrative access and multifactor authentication for our hosting and email administrator accounts. Connections to this website use HTTPS.
Although the website has no visitor accounts, our providers store form submissions and email records on our behalf. No website or communications system can be guaranteed completely secure. Please avoid sending passwords, credentials, confidential datasets or other sensitive information through our contact channels.
Changes to this notice
We may update this notice when our privacy practices or applicable legal requirements change. We post changes on this page and update the effective date. For material changes we will provide a prominent notice on the website, and any additional notice or consent that applicable law requires.
